2. ABOUT THE GUARD APP

The Mygate Guard App is a comprehensive Security Management module that facilitates seamless communication between residents and security guards at community gates. The application enables guards to efficiently manage visitor entries, security alerts, patrolling activities, and various other security-related operations within residential societies.

3. INFORMATION WE COLLECT

We adhere to the principle of data minimization and collect only information that is necessary for the stated purposes.

3.1 Visitor Information

When security guards create visitor entries through the Guard App, the following information is collected:

  • Full name of the visitor
  • Mobile phone number
  • Photograph
  • Apartment or villa number being visited
  • Vehicle registration number (where applicable)
  • Company name (for delivery personnel and service providers)
  • Purpose of visit Entry and exit timestamps
  • Any additional information as deemed necessary by the Resident Welfare Association (RWA)

3.2 Service Provider Information

For regular service providers such as domestic help, cooks, maintenance staff, and delivery personnel, we collect:

  • Full name
  • Phone number
  • Resident flat or villa being visited
  • Vehicle number (if applicable)
  • Entry and exit time records
  • Identity proof details (as per RWA requirements and local laws)
  • Visit purpose
  • Photograph Biometric data (facial recognition data for authentication purposes, where enabled)
  • In-gate pass details (items carried in/out with photographs)
  • System-generated passcode for future entries

3.3 Device and Technical Information

We automatically collect certain technical information when guards use the Guard App:

  • Device type, model, and operating system version
  • CPU usage metrics
  • Memory (RAM) utilization
  • Network connectivity status and speed
  • App performance data
  • Device location information (as detailed in Section 4)

4. LOCATION INFORMATION USAGE

Mygate Guard App uses device location information to support essential security and operational features, primarily related to guard patrolling and society management.

4.1 Primary Location Uses

Location information is collected and used to:

  • Record the precise geographic coordinates when creating patrol checkpoints to ensure they accurately reflect real-world positions
  • Verify that guards are physically present at the correct location when scanning QR codes during assigned patrols
  • Ensure that patrol routes are followed correctly and patrols are completed as configured
  • Prevent incorrect, fraudulent, or false patrol reporting
  • Maintain accurate security logs and audit records for societies

4.2 Additional Location Uses

Location information is also used for:

  • Capturing and submitting the guard’s current location when logging into the Guard App using a passcode, for security verification and audit purposes
  • Supporting task management features, including assigning tasks and delivering location-relevant task notifications
  • Enforcing geo-fencing restrictions for societies that have enabled geo-fence settings, ensuring the Guard App is used only within the permitted geographic area
  • Collecting operational metrics and diagnostics related to location-based features to monitor system reliability

4.3 Location Access Principles

  • Location data is accessed only when required during patrol checkpoint setup, guard login, active patrol execution, task handling, or when geo-fencing enforcement is enabled
  • Location information is used strictly for security, safety, and operational purposes
  • Location data is not used for advertising, marketing, or profiling purposes
  • Location information is not shared with third parties for commercial purposes

5. HOW WE USE YOUR INFORMATION

We process personal data only for the specific, clear, and lawful purposes for which it was collected. We adhere to the principle of purpose limitation. We use the collected information for the following purposes:

6. PERMISSIONS USED BY THE GUARD APP

6.1 Connected Device Access

The app connects with external hardware such as Bluetooth Low Energy (BLE) devices. A foreground service for connected devices maintains stable connections and ensures correct data exchange during active operations.

6.2 Data Synchronization

Visitor entry and exit information is continuously synchronized while guards use the app. Foreground data synchronization ensures that visitor records and activity information are saved and updated without interruption.

6.3 Location Access

Location information is collected while the app is in use to support location-based features and validations during guard operations, as detailed in Section 4.

6.4 Remote Messaging and Alerts

The app uses remote messaging to deliver important security alerts and notifications to guards, ensuring time-sensitive alerts are received promptly. 

6.5 Full-Screen Notifications

In critical situations such as security alerts, the app may display full-screen notifications to ensure guards are immediately aware of important events.

6.6 App Installation Permissions

The app may request permission to install packages for authorized updates or related components where applicable.

7. GOOGLE ADVERTISING ID

The Guard App uses the Google Advertising ID to uniquely identify devices for operational purposes such as analytics, performance monitoring, and ensuring reliable app functionality.

8. DATA SHARING AND DISCLOSURE

8.1 Within the Mygate Ecosystem

Information collected through the Guard App is shared with:

  • Residents of the society (limited to information relevant to their visitors and service providers)
  • Society administrators and RWA members for management and security purposes
  • Other guards within the same society for operational coordination

8.2 Service Providers

We may share information with trusted third-party service providers who assist us in:

  • Cloud storage and data hosting
  • Analytics and performance monitoring
  • Technical support and maintenance
  • Communication services

All service providers are contractually obligated to maintain data confidentiality and security.

The Mygate Guard App is intended for use by security personnel aged 18 years and above.
